Thank you for sending your work to the SVIN 2024 Annual Meeting!

This site is designed to provide you all the information you need about your abstract engagement, deadlines, and ways to promote your session. The abstracts will also be published online at S:VIN Journal in mid-November.

General Guidelines:

SVIN requires that all of its presenters comply with the ACCME Standards of Commercial Support of CME. Disclose any RELEVANT financial interest or relationship that you and/or your spouse may have with any commercial supporter of the activity or the manufacturer(s) of any commercial interest that is discussed as part of your session. ACCME definition of relevant relationship: relationships with a commercial interest (rights, consulting fee, honoraria, ownership in stock, etc.) IF the products or services of the commercial interest are related to the content of the educational activity that you are presenting.

All materials for abstract sessions including presentations and ePosters must be uploaded through the SVIN Portal. You are required to electronically upload a version of your abstract presentation by November 15, 2024. This does not have to be your final version. Final presentations must be uploaded in the Speaker Ready Room at least 60 minutes prior to your platform presentation if applicable. Platform Guidelines:

  • Provide the audience with meaningful disclosure at the start of presentation.
    • The first slide of the presentation must include the presenter’s disclosure information, both what is directly relevant to the work, as well as any other disclosure information. The disclosure information that is relevant to the work should be in larger font and bolded, and the speaker should give a summary of this information prior to beginning their presentation.
  • Design a presentation that is independent, objective, scientifically rigorous, balanced, and free of bias.
    • Assure that patient care recommendations are acceptable to the medical community and ensure that you do not recommend any unscientific modalities or those not supported by evidence-based sources. Assure that scientific studies utilized or referenced in your presentation are from sources acceptable to the scientific and medical community.
    • It is understood that presentations must give a balanced view of therapeutic options. Speaker use of generic names will contribute to this impartiality. If trade names are used, those of several companies should be used rather than only that of a single supporting company. Speakers should make every effort to ensure that data regarding the company’s products (or competing products) are objectively selected and presented, with balanced discussion of prevailing information on the product(s) and/or alternative treatments.
    • When an unlabeled use of a commercial product, or an investigational use not yet approved for any purpose, is discussed during an educational activity, the accredited sponsor shall require the speaker to disclose that the product is not labeled for the use under discussion or that the product is still investigational.
  • Slide Preparation:
    • First slide MUST be the financial disclosure slide.
    • Slides should be no more than 7 lines.
    • Use fonts that are large enough to be legible from the back of room.
    • Colors should make viewing easier (avoid light fonts and dark slides).
    • Duplicate the content slides in the slide template to add additional content, ensuring consistent formatting across all slides.
    • Add abbreviated citations on each relevant slide (author, year), with a complete APA style reference list on the last slide.
    • All videos must be embedded into the presentation to play properly.
    • All graphics used in the presentation that you do not own must be cited and receive copyright permission for use.
    • Slides will NOT contain any patient names or identifying information.
    • Prior to the session, speakers are urged to review their slides for material that may be offensive to some of our members on the basis of gender, body images, group caricatures or grammatical errors. NO OFFENSIVE MATERIAL WILL BE TOLERATED.
  • Present within the allotted 8-minute time window, with 2 additional minutes for questions and answers. Please ensure you do not go over on time. Speakers will be given a 2-minute warning prior to the scheduled end of their presentation, and they are expected to conclude without exceeding more than 1 minute of overtime.

Moderated Poster Guidelines:

  • Provide the audience with meaningful disclosure at the start of presentation.
    • The presenter should give a summary of this information prior to beginning their presentation, both what is directly relevant to the work, as well as any other disclosure information.
  • Design a presentation that is independent, objective, scientifically rigorous, balanced, and free of bias.
    • The presenter should use generic names, rather than trade names, during their presentations.
    • When an unlabeled use of a commercial product, or an investigational use not yet approved for any purpose is discussed, the presenter should disclose when a product is not labeled for the use or that the product is still investigational during the discussion.
  • Present within the allotted 4-minute time window, with 2 additional minutes for questions and answers. Please ensure you do not go over on time. Presenters are expected to conclude without exceeding more than 1 minute of overtime.

Presentations:

  • Download our SVIN 2024 Annual Meeting Powerpoint Template. Please use this template for your presentation to create a cohesive effect.
  • The disclosure information you provided at the time of your abstract submission will be made available to attendees on the SVIN website prior to the start of the meeting. In addition, all presenters must provide a meaningful disclosure slide at the start of each presentation.
  • Image and Video Suggestions
    • Use clear, visible graphics and large type.
    • Acceptable image file formats include: JPEG, GIF, TIFF, BMP, PNG.
    • Acceptable video file formats include: WMV, MOV, MP4, AVI.
    • Videos should be set to either play on click or advance from a hyperlink button.
    • Audio and video files must be embedded into the PowerPoint.
  • Text Suggestions
    • Minimize narrative on slides.
    • Numbered or bulleted lists are effective ways to convey a series of points.
    • QR codes are allowed, but they should link to scientific information only and not link to promotional or marketing material.
    • Pharmaceutical company logos are not allowed to be used.
    • Presenters are highly encouraged to include contact information, if comfortable, in case of offline questions.
  • If you make any changes after uploading your abstract presentation or fail to upload it to the SVIN Portal by the deadline, you are responsible for bringing your PowerPoint with you on a USB flash drive to the conference. You must upload your PowerPoint in the Speaker Ready Room at least 60 minutes prior to the start of your session.

ePosters:

SVIN is excited to announce that the Poster Hall will be completely digital!

  • All posters will be displayed on 65” touch screen monitors and are meant to be interactive. Presenters and attendees will be able to advance posters by touching the screen or navigate using buttons on the monitor for a more customized experience.
  • The Poster Hall will be structured into different topic-related Poster Neighborhoods. Your neighborhood number indicates the physical location and timing of the poster grouping. The presentation number represents the specific digital monitor where your presentation will be displayed.
  • It is expected that authors be available during the stand-by times of the assigned session. Attendees expect authors to be willing to engage in dialogue about the work displayed. The author is to supplement or discuss particular points raised in inquiry.
  • ePosters must be uploaded in the Speaker Ready Room as PDF files only, without the use of videos or animations, at least 24 hours prior to your presentation time. A/V staff will display your poster on your assigned screen at your designated time in the Poster Hall.

Poster Hall Schedule:

  • Authors should check the schedule to identify the assigned session and poster location. The presenter, or a co-author, should stand by the poster during your allotted 1-hour time in the Poster Hall.
  • Our online Poster Hall will be available on the SVIN meeting platform for the duration of the meeting through February 22, 2024. This offers attendees even more opportunities to view your science and leave questions or messages for you through the chat feature. Your ePoster file will automatically pull over into the online Poster Hall once uploaded.

There are 15 scheduled daily poster sessions throughout the SVIN Annual Meeting:

  • Wednesday, November 20
    • Poster Session 1: 1:00 pm to 2:00 pm
    • Poster Session 2: 2:00 pm to 3:00 pm
    • Poster Session 3: 3:00 pm to 4:00 pm
    • Poster Session 4: 4:00 pm to 5:00 pm
    • Poster Session 5: 7:00 pm to 8:00 pm
  • Thursday, November 21
    • Poster Session 6: 8:00 am to 9:00 am
    • Poster Session 7: 9:00 am to 10:00 am
    • Poster Session 8: 10:00 am to 11:00 am
    • Poster Session 9: 12:00 pm to 1:00 pm
    • Poster Session 10: 1:00 pm to 2:00 pm
    • Poster Session 11: 2:00 pm to 3:00 pm
  • Friday, November 22
    • Poster Session 12: 8:00 am to 9:00 am
    • Poster Session 13: 9:00 am to 10:00 am
    • Poster Session 14: 10:00 am to 11:00 am
    • Poster Session 15: 12:00 pm to 1:00 pm

Annual Meeting Registration:

All abstract presenters must register and pay the registration fee for the Annual Meeting. We have extended the early bird registration rate for abstract presenters. Confirm your abstract participation and register by October 14, 2024 with the code to receive the early registration rates. Please reach out to info@svin.org to obtain this code or if you have not received it.

Withdrawing An Abstract:

Withdrawal requests are permitted until October 7, 2024. Under only extraordinary circumstances should you withdraw your abstract. Due to the limited number of abstracts that are able to be accepted, authors are expected to make all efforts to attend the SVIN Annual Meeting to present their accepted abstract. If you are unable to find a replacement presenter and must withdraw an abstract, SVIN staff should be notified at education@svin.org. Please include the abstract title, ID number, and the presenter’s name. Authors should also provide reasoning for the withdrawal.
